DocuWare Version 7.13: Workflow Efficiency & Automation Supercharged

The latest DocuWare update is here – and it’s packed with powerful new features to improve usability, automation, and security. 

With the cloud release of DocuWare 7.13 live from mid September and the on-premises release at the end of the month, now is the perfect time to explore what’s new and get ready for the upgrade.

At DocTech, we’re particularly excited about the much-anticipated official rollout of the web-based Workflow Designer, designed to make workflow management simpler and faster than ever before.

Workflow Designer – Now in the Browser

One of the standout features in DocuWare 7.13 is the brand-new, browser-based Workflow Designer. Having moved out of beta and into full release for cloud customers, it removes the need for a desktop app completely.

Now, workflows can be created, edited, and managed directly from your browser – offering both flexibility and speed.

Key Benefits:
  • No installations required – manage everything online.

  • Modern interface – intuitive design with updated terminology and navigation.

  • Build faster – duplicate or delete multiple actions at once.

  • Auto-save – never lose progress again.

  • Undo/redo support – fix mistakes instantly.

  • Targeted exporting – export individual workflows when needed.

Better still, workflows created in the previous desktop version can be migrated seamlessly into the new designer within the cloud version of 7.13.

Expanded E-Invoice Support

For organisations dealing with high volumes of invoices, DocuWare 7.13 brings enhanced e-invoice recognition capabilities.

Previously, DocuWare supported UBL (Universal Business Language) formats by default. With this release, recognition expands to include non-UBL formats, such as:

  • FatturaPA (Italy)
  • KSeF (Poland)

This means invoices in multiple international formats can now be automatically identified and processed without manual configuration, making it even easier to streamline finance processes across borders.

Smarter, More Flexible DocuWare Forms

DocuWare 7.13 delivers improvements to DocuWare Forms, making it faster and easier to collect accurate information.

Key Updates:

  • Pre-fill via URL – forms can now be pre-filled using URL parameters, reducing manual entry and errors.
  • Save for later – partially completed forms can be resumed later, or passed to a colleague for completion.

Use Cases:

  • A user starts a form and picks it up later.
  • One person fills part of a form, then shares it with a colleague to finish.
  • Auto-generated forms can be sent to external parties with pre-filled data (e.g. property reference, supplier name).

Limitations: Pre-filled URLs do not currently support signature fields, table fields, or attachments, and URLs are limited to 2000 characters.

 

Stronger Security with Two-Factor Authentication

Security is always a top priority. DocuWare 7.13 introduces two-factor authentication (2FA) for cloud sites not yet connected to an external directory such as Azure AD or Office 365.

This means even standalone cloud sites can benefit from added login protection, meeting compliance requirements and reducing risk.

Important notes:

  • Accounts used for integrations should avoid 2FA, as apps cannot process authentication requests.
  • Sites already connected to Azure AD continue using their IT-managed 2FA settings.
