Document Management Pricing 

We understand that you likely want to know the estimated price for a document management system as soon as possible. However, as we hope you can see from the detail given here, the only way to get an accurate price is for us to fully understand your needs.  

Document Management Software is a solution, not a product, and no two implementations are the same. There are many factors we need to consider before we can provide you with reliable pricing. 

In certain circumstances, we will give indicative pricing earlier in the process so organisations can understand if implementing a DMS is within their budget, before working through the stages.

Our Pricing Structure

We have over 40 years in business, and we know providing accurate pricing is only possible when we have worked with the client to gain the full picture of the requirement. 

Initial Conversation

To offer the best solution possible, we need to understand what is important to you as an organisation, and within your individual roles/teams.  We need to learn how you are working now and what your goals, initiatives, and priorities are to ensure we recommend a solution which matches those objectives.

During this first chat, we can start to explain the solutions and services we provide. As we provide a range of solutions, we can suggest an appropriate solution for you, rather than trying to shoe-horn potential customers into one specific solution.

Process Mapping

Several elements go into our software pricing proposal and one of these is the time it will take our team to configure the desired solution to meet your requirements. To understand this, we typically complete a process mapping session where we will map out your existing process and then, alongside that, map out the solution design to show the new, desired process.

This mapping enables us to provide you with accurate pricing. The visual process planners showing the current and proposed process and they go into the Pricing Proposal. 

 

 

Online Demo

Presuming we did a decent job during the initial conversation,  we will show you an online demo of the solution we feel addresses your needs. This will be tailored to the requirements and processes discussed.

Document Management Software is often a big change for organisations so being able to see the software and its features visually is a crucial step in the buying process.

We welcome as many people as you like on the demo and invite questions. Our aim is for you to leave with a comprehensive understanding of the software, it’s capabilities and how it will improve your document processing. 

Pricing Proposal Document

We will send you a Pricing Proposal Document. This document is invaluable in terms of instilling confidence and are often used as part of our client’s business case and return on investment calculations. 

At this point you’ll have seen the solution,  understand how it will be configured to suit your specific requirements, and the positive outcomes that the implementation will produce.

We will run through the Pricing Proposal with you. It will include the cost of the software,  the professional services work involved in the configuration and training and any other associated costs.  

We believe this thorough approach  allows our clients to make educated, informed decisions. For clients who give us the go ahead, the person who handled this process on DocTech's behalf will stay with you as your Account Manager and support you in the implementation phase with our technical team (all UK based DocTech employees).
